A single loop for the inbound stream

The task

Tenders, enquiry emails and client replies lived in separate processes. A manager read through the entire inbound tender stream by hand, copied details from emails into the CRM and decided which enquiries needed a fast reply.

What we built

A single loop was developed: scanning new tenders, filtering them against the company's criteria, parsing emails into CRM records, and replying automatically to enquiries that qualify. When the filter is wrong, the manager marks it in the CRM and the system takes that into account on later passes.

How the data flows

Inbound stream tender portals, enquiry emails Filter and parse company criteria, fields pulled from the email CRM record shortlist, automatic reply where it qualifies Manager’s decision pursue, decline, or flag an error Error flags feed back into the filtering rules
The diagram reproduces the logic of the system. The client's name, the data sources and the content of the filtering criteria are not disclosed.
The interface is reproduced for illustration. Company names, contacts and data are fictional; no client data is shown.

Outcome

The inbound stream now has one route: receive, check, qualify, hand over. The manager starts from a prepared record rather than from the raw stream.
